AI Data Policy

Purpose and Scope

This document outlines the principles governing ownership, usage rights, data processing, and governance of the Raiqon Products “Raiqon AI Platform” and “Raiqon PDF Converter” (together “Raiqon Products”). It serves as an information and evaluation basis for procurement as well as related functions (e.g., legal, IT, data protection).

At Raiqon GmbH (“Raiqon”), we understand the value of your data and are committed to helping you maximize its potential while keeping it secure and private.

Definitions

For the purposes of this document:

• “Baseline Models” means pre-trained AI models provided by Raiqon.
• “Customer Data” means any data, content, or information provided by or on behalf of the Customer.
• “Outputs” means results generated by the Platform using Customer Data.
• “Customer Environment” means the Customer’s on-premise or Customer-approved private cloud environment.
• “SaaS Environment” means a private cloud environment under Raiqon subscription.

No Training on Customer Data

We do not use customer-specific data to train or fine-tune any of our general AI models. All AI models we deploy are trained on publicly available or Raiqon proprietary datasets that exclude customer data. Where appropriate, and at the direction of a customer, for isolated, customer-targeted models, some specific Customer Data may be used. Those customer-targeted models will not be incorporated into our Baseline Models.

All Customer Data remains the property of the Customer at all times.

Ownership of Outputs

All outputs generated through use of the Raiqon Products (e.g., structured data, analyses, derived artifacts) are made available to the Customer for unrestricted use.

Raiqon does not claim ownership or exploitation rights in such outputs, unless otherwise contractually agreed.

Access Rights and Support

Access to Customer Data by Raiqon personnel is limited to the extent required for service provision, support, or maintenance, and is subject to confidentiality, data protection, and IT security obligations.
Any further use, analysis, or exploitation of Customer Data is excluded.

Customer-Specific Customizations and Fine-Tuning

Customer-specific customizations (e.g., fine-tuning, configurations, prompt templates) of Raiqon Products are performed exclusively upon explicit instruction (opt-in) by the Customer. Such Customer-specific customizations are not reused or disclosed for other Customers or for general model improvement.

Governance, Compliance, and Security

Raiqon Products are subject to internal procedures covering governance, technical safeguards (e.g., traceability, tenant isolation) and security-by-design principles.

Raiqon is certified according to:

Human Oversight and Use of AI Output

All AI-generated content, outputs, suggestions, or recommendations produced by the Raiqon Products (“AI Output”) must be explicitly reviewed and accepted by the user before being used, relied upon, shared, or incorporated into any workflow, document, system, or decision. The user remains solely responsible for (i) verifying the accuracy, completeness, legality, and suitability of any AI Output, (ii) ensuring appropriate human oversight and, where applicable, professional review, and (iii) any actions taken or omissions made based on AI Output, including any resulting consequences, damages, or liabilities.
